Simply call them. Ask for an appointment or invite them to lunch. They are usually actively looking for housing for the players anyway so this will make their job much easier. Come prepared with a list of your amenities. This very important to the players as they will want to unwind after a hard day of practice by swimming in the pool or relaxing in the spa. Some may bring families so let them know what type of activities you have for kids. What schools are near you etc. They may expect some sort of a discount since they will be leasing so many units at one time. Be sure to get guidance from your regional before meeting with the marketing director so they do not have to wait on approvals. Let them know how much you appreciate them considering your community and invite them for a full tour. Have packets ready for them and remember to follow up follow up. They will love your community and the fact that you understand their needs and are ready to give them great service during their stay. If they leave happy they may want to lease with you every year. This would be great for your entire company so you can house them at all of your sister communities for years to come.
